Rules for Exhibitors

Check in

Stop in at the log cabin office if you have any questions, concerns, or need help finding your exhibit space. You should have already sent to our office a Certificate of Insurance, as well as the necessary copies and/or letter pertaining to sales tax. The Oneida County rate for retail sales is 8.75%.

Parking

Each exhibitor will receive one vehicle parking permit to admit you to the grounds for the unloading of your vehicle. This permit must hang from your vehicle’s interior mirror. Please be advised – there is absolutely no parking in and around the track – there is no parking on your exhibit site and there is no parking for craftsmen, artisans around the Green & White (formerly yellow) exhibit hall.

You will be permitted to unload your vehicle before 8 AM each day of the show. After which time, your vehicle must be placed in the main parking lot adjacent to the fairgrounds. After 8 AM, no vehicles will be allowed to park within the exhibit area or show grounds. All exhibitors should enter the grounds via the Rte. 294 gate – there will be no open gates or vehicle admission at the Upper Schuyler Street entrance to the fairgrounds during show hours.

Setup

The gates at the Fairgrounds will be open at 8:00 am Friday, Saturday and Sunday the third full week of August. The NYS Woodsmen’s Field Days are advertised as a three day event, with a paid gate all three days and FREE grandstand events scheduled throughout the entire weekend to include all of Friday as well. You must set-up your display on Thursday and you must man your exhibit area Friday, Saturday and Sunday. THE SHOW WILL OPEN AT 8AM. PLEASE BE IN YOUR BOOTH NO LATER THAT 7:30 AM EACH DAY.

CRAFTSMEN-ARTISANS – INSIDE EXHIBITORS – ORGANIZATIONS

Remember to bring heavy duty extension cords and fans! You may setup in the “crafts” building on Thursday from 8 am to 6 pm. All craftsmen-artisans and organizations need to remember to bring tables and chairs!!!

Inside exhibitors can setup in the Forestry Exhibit Halls (Grandstand, Joe Griffo exhibit hall and the blue Kiwanis Building) on Thursday from 8 am to 6 pm as well.

After the above hours, the building will be locked so if you feel that you cannot make setup time in your building between the above hours, you must call the office so that other arrangements can be made for Thursday.

Registered outside exhibitors & food vendors

Please remember to bring mats, boards or whatever items are necessary to unload your equipment onto your outside exhibit site.

The Boonville-Oneida County Fairgrounds are leased by our organization and we want to do all we can to preserve the landscape.

There will be absolutely no parking allowed on the track. Only areas designated by our show officials will be allowed.

Regulations

If you are an outside exhibitor, you must have a 20# ABC dry chemical fire extinguisher on site throughout the weekend. (PLEASE BE SURE TO REVIEW YOUR SAFETY REGULATIONS & TIPS THAT ARE ENCLOSED).

Cleanup

We ask at the end of each day you clean up the area around your exhibit and place debris in the nearby garbage cans. PLEASE NOTE: Oneida County law states that we must separate recyclables. Do not mix recyclable containers with regular trash items. Your efforts in cleaning up will make the work much easier for the volunteers who clean the grounds each night after the exhibit areas are closed. PLEASE PLACE ZIP TIES IN THE TRASH.

In order to keep the grounds nice and clean, we ask that all exhibitors remember the following:
• No cardboard in barrels. Please breakdown all cardboard and stack in piles for pickup.
• Please do not put any glass in barrels.
• No metal or metal straps are to be put in barrels.
• No wood is to be placed in barrels – this includes broken pallets, crating, etc.
• Please keep your exhibit site free of debris and garbage. Be sure zip ties are placed in the garbage as well
• At the end of the day – please pick up any litter that is in and around your exhibit site.
• Please keep bottles and cans separated from your garbage and trash.

Security

Regarding security – once the show closes, the only personnel permitted in the exhibit area will be those individuals that are working as show staff and persons that have an identification name tag from the NYS Woodsmen’s Field Days’ Office. All exhibitors will be given name tags for their personnel. I respectfully request that all exhibitors and staff working the show wear the tags if you must return to your exhibit area in the evening to pick something up or organize etc.

WHEN DARKNESS FALLS – YOU MUST HAVE YOUR SHOW ID ON YOUR PERSON. SECURITY WILL NOT BE PERMITTING ANYONE IN THE
EXHIBIT AREA UNLESS YOU HAVE ID.

Safety

As an exhibitor, we ask you to assist the New York State Woodsmen’s Field Days, Inc., and the NewYork State forest industry in the promotion of safe work practices and safe working conditions by observing the following practices and precautions while exhibiting in Boonville during the weekend.

Your participation and support of our safety education efforts will be appreciated.
Note to chainsaw displays/carvers/vendors-at the end of the day, all chainsaws should be chained together before you leave the exhibit area for the night. This will make the work of our security force easier during the night hours.
Remember this – If you don’t want to lose it, Lock it! Chain your saws, tires and anything that can easily
“walk away”.

  1. Wear hard hats, gloves, safety clothing and safety shoes.
  2. Point out and stress your product’s safety features.
  3. Display your equipment in a safe manner.
  4. Use safe operations/practice when demonstrating.
  5. Keep the public back from operating machinery.
  6. Provide close supervision of those trying your equipment.
  7. Operate chainsaws and other excessively noisy equipment only during the first half hour of each hour.
  8. All outside exhibitors must have a 20# abc dry chemical fire extinguisher on site.
  9. Chainsaw exhibitors: Use a safe starting technique; demonstrate safe cutting techniques. Use saw sheaths; display and store your saws in a safe manner. Practice safe saw re-fueling; store fuel and lubricants in suitable containers. Arrange a safe demonstration site with ample sawing room, good footing, and stable logs.
  10. If you are participating in our parade on Saturday – please inform the drivers that there is to be absolutely no throwing of candy, handouts, balloons, hats, etc. – out of the unit that they are driving. All items given away during the parade must be either handed out to the crowd or persons walking beside the equipment must throw the item behind the crowd. If your equipment has the ability to engage a saw or rotating blade, there is to be absolutely no engaging of saw blades on the parade route.

No PETS Allowed

REGARDING PETS – absolutely no pets are permitted in the exhibit/seating areas of the NYS Woodsmen’s Field Days. Only pet aides for the handicapped will be permitted.

Questions?

The show office “LOG CABIN” is located on the fairgrounds next to the Wood Crafts building (green & white building). The show office will be open on the fairgrounds the entire week before the show opens and the week after the show closes. The Woodsmen’s office will be closed from the last Saturday in August to Sunday of the second week of September for summer vacation. We will be opening back up for business at 9 am on Monday, the third week of September.
